What the Housecall Pro API Actually Lets You Build
Housecall Pro has a documented REST API covering customers, jobs, estimates, and invoices, plus a native QuickBooks Online sync and a Zapier integration for most businesses' standard needs. The API is what makes a custom integration possible once a business needs something those standard options don't cover. Two real gaps show up often: QuickBooks Desktop support and inventory tracking, neither of which the native tools handle.
What's actually in the Housecall Pro API
The API exposes the core records a field service business runs on: customers, jobs, estimates, invoices, and employee data, with webhooks available for key events like job status changes. That's enough surface area to build a real custom integration rather than a workaround.
The native QuickBooks Online sync and the Zapier app cover a lot of ground for a typical business: standard invoice and client syncing, and simple trigger-and-action automations for common apps. Most businesses never need anything beyond those two.
Where the native options don't reach
Housecall Pro's native QuickBooks sync targets QuickBooks Online specifically. A business still running QuickBooks Desktop, which doesn't expose the same kind of live, cloud-based API, doesn't get the same native sync and needs a different bridging approach to get Housecall Pro's invoice and payment data into its books at all.
Housecall Pro also doesn't have a robust native inventory or parts-tracking module. A job's real material cost, what parts actually went into it, often lives entirely outside Housecall Pro, in a supplier system or a spreadsheet, which means the job costing inside Housecall Pro can understate what a job genuinely cost to deliver.
What we build on top of the Housecall Pro API
A QuickBooks Desktop bridge for businesses that haven't moved to Online
We build a scheduled sync that maps Housecall Pro invoices and payments into your QuickBooks Desktop file, so businesses that haven't migrated to QuickBooks Online aren't stuck choosing between manual re-entry and switching accounting platforms before they're ready.
Job-triggered inventory deduction
When a job gets marked complete, the parts and materials it used get deducted from a separate inventory system automatically, so your stock counts reflect reality and job costing shows what a job actually cost, not just what Housecall Pro's own line items captured.
What's not covered by Housecall Pro's native integrations?
Tell us whether it's QuickBooks Desktop, inventory, or something else entirely, and we'll check what the API supports and what would need a custom build.
Hit a gap Housecall Pro's native integrations don't cover?
Tell us what's falling through, QuickBooks Desktop, inventory, something else specific to how your business runs. We'll check what the Housecall Pro API actually supports and build the bridge. And if Housecall Pro isn't where your real integration gap is, that's fine too, we build this kind of connection for whatever tool your business runs.
