Expensify scans the receipt. It doesn't know if the expense should have happened.
Expensify is genuinely good at the mechanics: snap a photo of a receipt, SmartScan pulls the amount and merchant, it reconciles against the corporate card, and it syncs to QuickBooks, NetSuite, Xero, or Sage Intacct. What it can't do natively is check an expense against a project budget or a job code that lives somewhere else. We build that layer.
Expensify's approval rules are built around policy limits: a per-diem cap, a category restriction, a manager sign-off above a dollar amount. That catches the obvious policy violations. It doesn't catch the expense that's technically within policy but charged against a project that ran out of budget two weeks ago, because Expensify has no idea that project or that budget exists.
That gap usually gets filled by a person: someone cross-checking expense reports against a spreadsheet or a separate project-tracking tool before they sign off, every reporting period.
