MyCase Workflows

MyCase Workflows Run Task Checklists Inside a Matter. We Connect What Happens Before and After.

MyCase's Workflows feature lets a firm build a template of tasks and deadlines that gets attached to a matter automatically, calculated from a trigger date like a filing or an intake. It's genuinely useful for keeping a case moving through the same checklist every time. We don't build or configure MyCase's Workflows feature itself. We connect what feeds into a workflow before it starts and what should happen once its tasks are actually done.

What we build on top of MyCase Workflows

A Workflow template only does its job once a matter and its intake details already exist correctly in MyCase. Everything before that point, and everything that should fire once a workflow's tasks close out, is still a manual step at most firms.

Intake that triggers the right workflow on its own. A lead coming through a web form or a referral still usually gets entered into MyCase by hand before anyone can attach a Workflow template to it. We connect the intake source directly to MyCase so the matter gets created and the correct Workflow attaches automatically, based on practice area or referral source.

A finished workflow that doesn't just sit there finished. When every task in a MyCase Workflow closes out, that's a real signal, a case is ready for its next stage, a document needs sending, a client should hear from someone. We build the step that acts on that signal in whatever system the right person actually has open, instead of relying on someone noticing the checklist is done.

Where this shows up in practice

A lead becomes a matter with its workflow already running

A completed intake form creates the matter in MyCase and attaches the right Workflow template immediately, so the first task is already waiting instead of someone building the case file from scratch days later.

A closed-out workflow notifies the people who need to act

The last task finishing in a MyCase Workflow kicks off a notification to the attorney and a status update to the client, instead of the finished checklist just sitting there until someone happens to check it.

What's still getting typed in before a MyCase workflow can start at your firm?

Tell us where intake stalls before a matter and its workflow exist. We'll map out what can trigger automatically instead.

Running MyCase Workflows and still starting them by hand every time?

Tell us what happens before a matter gets created at your firm and what should happen once a workflow's last task closes. We'll look at what can trigger on its own. And if Workflows aren't the piece costing your firm time, that's fine, we automate whatever manual step actually is.

Frequently Asked Questions

What does the MyCase Workflows feature do?+
It lets a firm build a reusable template of tasks and deadlines, calculated from a trigger date, that attaches to a matter automatically so every case in a practice area follows the same checklist without someone rebuilding it each time.
Can MyCase automate lead intake into a new matter?+
MyCase can create a matter and contact from an intake form submission through its own intake tools, but connecting a specific web form, phone system, or referral source so that happens without someone re-entering the lead is the kind of integration work we build on top of MyCase, not a feature MyCase ships out of the box for every intake source.
Do MyCase Workflows send notifications when tasks are done?+
MyCase can notify assigned staff as individual tasks within a workflow come due or get completed. Triggering an action outside MyCase once an entire workflow finishes, a client text, an update in a separate system, isn't native and is the kind of connection we build.
Are MyCase Workflows the same as the client portal?+
No. Workflows manage the internal task checklist behind a matter; the client portal is the separate client-facing side where clients check status, pay invoices, and message the firm. They work together but are two different parts of MyCase.
