How to Change the Date Format in QuickBooks
In QuickBooks Desktop, go to Edit > Preferences > General > My Preferences and check or uncheck Always show years as 4 digits, the one date option QuickBooks itself controls; the actual MM/DD vs DD/MM order follows your Windows regional settings. In QuickBooks Online, there's no dedicated date-format setting at all, it follows the country locale your company was set up with.
The full walkthrough
1. Open preferences in QuickBooks Desktop. Go to Edit > Preferences, then select General from the left-hand list.
2. Go to My Preferences. Date formatting lives under your personal preferences, not the company-wide ones.
3. Toggle the 4-digit year option. Check Always show years as 4 digits (1999) if you want 2026 instead of 26 showing up throughout the program.
4. For the month/day order, check Windows itself. QuickBooks Desktop pulls its short date format (MM/DD/YYYY, DD/MM/YYYY, and so on) from your computer's Region settings, not from anything inside QuickBooks. Changing it there changes it in QuickBooks too.
5. In QuickBooks Online, there's nothing to toggle. The date format is tied to the country/locale your company file was created with. It isn't a preference you can flip after the fact from inside QBO.
Why QBO is more locked down than Desktop here
This trips people up because it's genuinely inconsistent between the two products. Desktop is a program installed on your machine, so it inherits a lot of behavior from Windows itself, date format included. QBO runs in a browser against a company record that was set up with a specific country at the start, and QuickBooks treats that as fixed.
If your QBO dates are showing up in a format that doesn't match how your team actually reads dates, there usually isn't a quick preference fix. It's more often a sign the company was set up with the wrong country locale originally, which is a bigger conversation than a settings toggle.
Either way, the date format itself is cosmetic. It doesn't change what date is actually stored on a transaction, only how it's displayed on your screen, your reports, and your printed forms.
