How to Create Custom Reports in QuickBooks Online
Open any standard report close to what you need, click Customize, then adjust the date range, filters, columns, and grouping until it shows exactly what you want. Save it with a name under Custom reports, and it's ready to re-run anytime without rebuilding it from scratch.
The full walkthrough
1. Start from a standard report. Go to Reports and pick whichever built-in report is closest to what you're trying to build. Customizing is always faster than building from nothing.
2. Click Customize. This opens the full panel of options for that report: period, filters, rows and columns, and formatting.
3. Set the period and accounting method. Choose the date range, and whether it should run on a cash or accrual basis.
4. Filter the data. Under Filter, narrow it down by customer, vendor, class, location, status, or whatever else is relevant: this is usually the part that makes a custom report actually custom.
5. Choose rows, columns, and grouping. Decide what the report groups by (customer, month, account) and which columns show up. Turn off anything you don't need; a leaner report is easier for people to actually read.
6. Run it and check the result. Click Run report and confirm the numbers look right before you save the customization.
7. Save it. Click Save customization, name it clearly, and choose whether to share it with other users or keep it private. It now lives under the Custom reports tab for anyone with access to run again later.
Where custom reports start multiplying
The first custom report is usually quick to build. The fifth one, built by a different person who didn't know the first one already existed, is where it gets messy: slightly different filters, a different date logic, the same underlying question answered three inconsistent ways across the company.
And even a well-built custom report only shows what QuickBooks itself has. The moment someone needs to blend it with numbers from another system, project hours, a CRM pipeline, inventory counts from a warehouse tool, the custom report hits its ceiling and the rest gets stitched together by hand in a spreadsheet anyway.
