How to Enter a Donation in QuickBooks (and Keep the Paper Trail Intact)

Set up a Charitable Contributions expense account if you don't have one, then record the gift through + New > Expense (for cash) with that category, or a journal entry (for donated goods, valued at cost, not retail price). Here's the full process for both, plus how to make sure the right documentation doesn't go missing by the time tax season rolls around.

The full walkthrough

1. Create a Charitable Contributions account. Go to Chart of Accounts, click New, choose Expenses as the account type, and name it something like Charitable Contributions. You only need to do this once.

2. For a cash donation, record it as an expense. Open + New and choose Expense from the Vendors column. Pick the organization as the payee (add them if they're new), choose your Charitable Contributions account as the category, enter the amount, and save.

3. If it already came out of your bank feed, categorize it there instead. Open the transaction in the bank feed, assign it to Charitable Contributions, and add it. There's no need to re-enter something QuickBooks already pulled in.

4. For a donation of goods or inventory, use a journal entry instead. Donated inventory isn't recorded at what it would have sold for, it's recorded at what it cost you. Debit Charitable Contributions and credit Inventory Asset for that cost amount, with a memo noting what was donated and to whom.

5. Hold onto the receipt from the organization. Most donations over a small threshold need written acknowledgment from the charity to be deductible. Attach a copy to the transaction in QuickBooks (there's an attachment field on both expenses and journal entries) so it's sitting right where your accountant will look for it.

One donation is nothing. Come tax time, someone's digging through bank statements and old emails trying to reconstruct a list that should've been clean the whole way through.
