How to Print a Check in QuickBooks (Setup, Printing, and Reprints)
Set up your check stock once under printer settings, then use + New > Print Checks, select which checks to print, and confirm alignment before the first run. QuickBooks queues any check you write without printing it immediately, so you can batch a stack and print them all at once. Here's the full setup and printing process, plus how to reprint one that jammed or got lost.
The full walkthrough
1. Set up your check printing preferences once. Go to Settings > Printer setup for checks, choose your check type (voucher, standard, or wallet), and confirm it matches the stock you've bought. Print a test alignment page before loading real checks so the text lines up with the pre-printed fields.
2. Write the check and choose "Print later." When you create a check (+ New > Check) or pay a bill by check, leave Print later checked instead of printing immediately. This adds it to a print queue instead of forcing you to print one at a time.
3. Open the print queue. Go to + New > Print Checks. QuickBooks shows every check marked Print later, across vendors and dates.
4. Select which checks to print and confirm the starting check number. QuickBooks assumes checks print in sequence, so set the first check number to match what's actually loaded in the tray.
5. Preview, then print. QuickBooks shows a preview before sending to the printer. Once it looks right, print the batch. If anything jams or prints wrong, you can reprint that specific check without re-queuing the whole batch.
Where 'print later' turns into a weekly chore
Batching checks into one print run is already more efficient than writing them one at a time. It's still a person deciding which bills get paid by check this week, loading the right stock, and babysitting the printer so nothing jams halfway through.
For a business paying a handful of vendors by check, that's a few minutes. For one paying dozens of vendors, subcontractors, or landlords across multiple properties, it's a recurring task that depends entirely on someone remembering it's check-printing day.
QuickBooks will hold as many checks as you queue up, but it won't decide on its own which bills are actually due, which vendors need a physical check instead of an ACH payment, or flag the one that's about to print for the wrong amount.
