How to Print Labels From QuickBooks (Desktop's Built-In Tool, and the Online Workaround)

In QuickBooks Desktop, go to File, then Print Forms, then Labels, pick the customer or vendor list and an Avery label format, then print. QuickBooks Online has no built-in label printer: export the customer or vendor list to Excel instead and run a mail merge, or connect a label-printing app from the App Store.

The full walkthrough

1. Open Print Forms. In QuickBooks Desktop, go to File, then Print Forms, then Labels.

2. Choose the list you're printing from. Pick All Customers/Jobs, Customers needing labels, Vendors, Employees, or Other Names, depending on who you're mailing to.

3. Narrow it down if you don't need everyone. Use the filter options, or check and uncheck individual names, to print only the addresses you actually need instead of the whole list.

4. Pick a label format. Choose the Avery (or compatible) label sheet size loaded in your printer; QuickBooks lines up the layout automatically once you pick the matching one.

5. Preview, then print. Check the preview to confirm names and addresses land in the right boxes before you commit a full sheet to the printer.

Why QuickBooks Online skips this feature entirely

Online was built around emailing invoices and statements, not printing and mailing physical paper, so a native label-printing tool never made it into the product. If you're searching for it there, you're not missing a hidden menu, it genuinely doesn't exist.

The workaround still gets the job done. Export the customer or vendor list (from Sales > Customers, or Expenses > Vendors, using the export icon or the gear menu), then run a mail merge in Word using an Avery label template, or connect a dedicated label-printing app through QuickBooks Online's App Store if you're doing this often enough to justify the setup.
