How to Switch to Single User Mode in QuickBooks
In QuickBooks Desktop, open the File menu. If you're currently in multi-user mode, you'll see Switch to Single-user Mode as an option, click it. QuickBooks will prompt you if other users are still logged into the company file, since single-user mode needs exclusive access to work.
The full walkthrough
1. Make sure everyone else is out of the file. Single-user mode needs exclusive access, so ask other users to close QuickBooks, or at least log out of the company file, before you switch.
2. Open the File menu. It's the first menu in QuickBooks Desktop's top menu bar.
3. Click Switch to Single-user Mode. This option only appears when you're currently in multi-user mode; if you're already in single-user mode, you'll see Switch to Multi-user Mode instead, confirming which mode you're in.
4. Confirm if prompted. If someone else is still in the file, QuickBooks will tell you and won't complete the switch until they're out.
5. Switch back the same way once you're done. Click File > Switch to Multi-user Mode to let other users back into the file.
Why some tasks require it at all
Multi-user mode is QuickBooks Desktop's normal operating state for a team, several people working in the same company file at once over a network. Single-user mode locks that down to one person, which sounds like a step backward until you understand why certain operations need it.
Tasks like Verify Data and Rebuild Data, condensing your company file, or restoring a backup all involve QuickBooks working directly with the file's underlying structure. Letting other users keep writing to that file while one of those operations runs risks actual data corruption, not just an inconvenient error message. Single-user mode exists specifically to prevent that.
It's worth knowing which mode you're in before you start troubleshooting something, since a surprising number of "QuickBooks is acting weird" support threads turn out to be someone trying to run a maintenance task while the file is still in multi-user mode with other people logged in.
