What Is QuickBooks Online Advanced?
QuickBooks Online Advanced is the top subscription tier, sitting above Plus. It's built for businesses that have outgrown the lower tiers' user limits and reporting depth: it adds custom user roles and permissions, batch transaction operations, a dedicated Advanced Reporting module, built-in workflow approvals, and a dedicated support contact. It costs considerably more than Plus and is aimed at businesses with more staff touching the books and more complex approval needs, not just more transactions.
What Advanced actually adds
1. Custom user roles and permissions. Instead of QuickBooks' standard fixed role types, Advanced lets you build custom roles that control exactly which screens, transactions, and reports each person can touch. This is the single biggest reason larger teams move up from Plus.
2. Batch transaction operations. You can create, send, update, or even delete and void dozens of invoices, expenses, or other transactions in one action instead of opening each one individually, a real time-saver once transaction volume climbs.
3. Advanced Reporting. A separate reporting engine (built on the Fathom platform) with more flexible, customizable report templates and the ability to combine data across more dimensions than the standard report set offers.
4. Built-in workflow approvals. You can set rules so certain transactions, say an expense over a dollar threshold, automatically route to a specific person for sign-off before they post, inside QuickBooks itself rather than over email or Slack.
5. More users and higher limits generally. Advanced raises the user cap well past Plus's five, and raises limits elsewhere too, like the number of custom fields and classes available.
6. Dedicated account support. Advanced subscribers get a named support contact and faster response times instead of general QuickBooks support, which matters more once a business is actually depending on the software daily.
Where Advanced's own automation still stops short
Workflow approvals and batch operations sound like automation, and they are, within QuickBooks itself. They still depend entirely on information that's already inside QuickBooks: an amount, an account, a user. The moment the right approval path depends on something QuickBooks doesn't track natively, which job a transaction belongs to in your field service tool, whether a client's contract is actually signed yet, Advanced's built-in rules can't make that call.
A lot of businesses upgrade expecting the higher tier to solve a cross-system coordination problem, and it genuinely helps with the parts that live entirely inside QuickBooks. The parts that depend on another tool still need a person checking both systems, or custom automation bridging them, same as before the upgrade.
