How to Reconcile a Bank Statement in Zoho Books (and Where It Still Needs a Person)
Reconcile a bank account in Zoho Books by matching the transactions in your Zoho Books register against what your bank actually shows, either through an automatic bank feed or an imported statement, then confirming each match until the ending balances agree. The full walkthrough
1. Connect or import your bank feed. Zoho Books can pull transactions automatically from supported banks, or you can import a statement file, CSV, OFX, or QFX, for a bank it doesn't connect to directly.
2. Let Zoho Books suggest matches. For transactions it recognizes against an existing entry, like a bill payment or an invoice receipt, Zoho Books proposes a match that you confirm with a click.
3. Categorize what's unmatched. Anything without an existing entry, a bank fee, an unexpected deposit, a transaction entered differently than the bank recorded it, needs a category assigned by hand before it can be reconciled.
4. Reconcile the account. Open the Reconcile screen for the account, enter the statement ending balance and date from your bank statement, then check off each transaction until the computed balance matches what the bank shows.
5. Investigate anything that doesn't match. A mismatch usually means a transaction is missing, duplicated, or entered for the wrong amount somewhere in Zoho Books, and it needs tracking down before you can close the reconciliation.
Where this still eats real time every month
The automatic matching handles the clean cases well: a bill paid exactly as entered, an invoice paid in full. It struggles with the messier ones, a partial payment, a transaction that hit the bank a day before it posted in Zoho Books, a deposit that bundles several invoices into one bank line. Someone still has to sit down, work through the unmatched list, and decide what each one actually is.
For a business with more than one bank account, or more than one entity each with its own Zoho Books organization, that review happens several times a month, and the categorization rules that worked for one account don't always carry over cleanly to the next.
