QuickBooks vs Xero: You're Really Comparing Market Share to Unlimited Users

QuickBooks and Xero both run the books for small and mid-sized businesses, and on paper they cover similar ground. For most businesses already running one, the real question isn't which is better. It's whether the rest of your business actually talks to it.

Where they actually differ

QuickBooks has the larger US market share by a wide margin, which means more bookkeepers and accountants are already fluent in it, and more third-party tools build a QuickBooks integration first. Its pricing tiers limit how many users can access the account at lower plans.

Xero's interface is often described as cleaner and more modern, and every Xero plan includes unlimited users at no extra cost, a real advantage for a growing team. Xero also has stronger native multi-currency support, which matters for businesses with international customers or vendors.

The practical split: a US-based business, especially one working with a bookkeeper who already knows QuickBooks, tends to default to QuickBooks. A business with international operations or a larger team that doesn't want to pay per user often leans Xero.

What matters more than which one you pick

Is Xero cheaper than QuickBooks?

It depends heavily on team size, since Xero includes unlimited users on every plan while QuickBooks limits user count by tier. For a larger team, Xero's flat pricing can work out cheaper; for a small team, QuickBooks' entry tier is often less expensive.

Which one has better multi-currency support?

Xero's multi-currency handling is generally considered stronger and more native. QuickBooks supports multi-currency too, but it's less seamless in the lower tiers.

Can I migrate from QuickBooks to Xero, or the other way around?

Yes, both support data migration and there are established tools and services for it, though it's a real project once historical transactions, custom fields, and integrations are involved.

We're happy with our accounting software, but data still gets re-entered by hand. Do we need to switch?
