How to Change the Primary Admin in QuickBooks Online (It's Not Instant)

Go to Settings, then Manage users, find the person you want to promote, open their dropdown, and choose Make primary admin. QuickBooks then emails the current primary admin a confirmation link; the transfer only completes once that link gets clicked, not the moment you request it.

The full walkthrough

1. Make sure the new primary admin is already a user. If they're not yet added to your QuickBooks Online company, add them first under Manage users and have them accept the invite before you try to promote them.

2. Go to Settings, then Manage users.

3. Locate that user in the list and click the dropdown arrow on their row.

4. Choose Make primary admin from the menu.

5. Confirm the request. QuickBooks sends a confirmation email to the current primary admin's address on file, the one tied to the account, not necessarily the one actively checked day to day.

6. The current primary admin clicks the link in that email. Until they do, the role hasn't actually transferred, no matter who initiated it.

7. Once confirmed, the new user becomes primary admin. The previous primary admin drops to a regular admin role, keeping full access, just without the primary designation.

Why the confirmation email is the part that trips people up

The email step exists to stop someone from hijacking the account by simply promoting themselves and locking the real owner out, which is a reasonable thing to guard against. The problem shows up when the current primary admin's email on file is stale: they left the company, changed email providers, or the address was never updated after a handoff years ago.

When that happens, this stops being a two-minute settings change and becomes an actual support case with Intuit, usually involving identity verification and documentation, which can take real time to resolve. Most businesses discover this is a problem only at the moment they urgently need to fix it, when someone with primary admin access has already left.
