How to Add Your Accountant to QuickBooks Online
Go to the gear icon, choose Manage users, open the Accountants tab, enter their email, and send the invite. They accept it with their own Intuit login and get direct access to your actual company, not a copy or an export, so nothing ever has to be emailed back and forth. It takes a couple of minutes on your end.
The full walkthrough
1. Open Manage users. Click the gear icon, then Manage users under Your Company.
2. Go to the Accountants tab. It sits separately from the regular Users tab, built specifically for inviting an accounting professional rather than a standard employee.
3. Enter their email and send the invite. Intuit emails them directly. You don't set a password for them, and you never see or manage their login credentials.
4. They accept it from their own Intuit account. If they already work in QuickBooks Online Accountant professionally, your company shows up as a new client in their own list. If they don't, accepting the invite walks them through setting that up.
5. Confirm they're listed as active. Once accepted, their name appears under the Accountants tab. From that point on, signing into your company shows them a briefcase icon for Accountant Tools, giving them things a standard user doesn't see, like bulk reclassifying transactions or closing the books for a period.
Why 'just share your login' is the wrong shortcut
Handing over your own username and password feels faster than setting up a proper invite, but it erases any record of who actually did what in your books, and it means you can't pull their access back later without changing your own password and locking yourself out in the process too.
The invite process above solves access for a single engagement. The part that still tends to happen by hand is everything around it: pulling together whatever the accountant will ask for first, and remembering to revoke access months after a relationship actually ends, long after anyone's thinking about it.
