How to Delete a Payment in QuickBooks (and What to Do When It's Stuck in a Deposit)

Open the payment (via the customer's profile or Sales > All Sales), select More, then Delete. That works cleanly for a standalone payment. If the payment's already bundled into a bank deposit, QuickBooks won't let you delete it directly; you have to remove it from the deposit first.

The full walkthrough

1. Find the payment. Go to Sales, then All Sales, and filter the type to Payment, or open the customer directly and look for it in their transaction list.

2. Open it and check for a deposit link. If the payment shows a note that it's included in a deposit, stop here; deleting it directly will throw that deposit out of balance. Skip to step 4.

3. If it's not part of a deposit, delete it. Select More at the bottom of the payment, then Delete. This is the clean case, a standalone payment with nothing else depending on it.

4. If it is part of a deposit, open the deposit first. Go to Banking (or Transactions), find the deposit, and open it. It lists every payment that's grouped into that one bank deposit entry.

5. Remove the specific payment line from the deposit, then delete it. Uncheck or remove that line from the deposit and save, which sends the payment back to Undeposited Funds on its own. From there you can open it and delete it the normal way, without unbalancing the rest of the deposit.

Why this one trips people up

Most QuickBooks deletions are a straight path: open it, delete it, done. Payments break that pattern the moment they've been swept into a deposit with other payments, because the deposit is its own transaction that references several payments at once. Deleting one of them out from under the deposit would make that deposit's total wrong, so QuickBooks blocks it.

It's not a bug, it's QuickBooks protecting your bank reconciliation. But it means a task that sounds like one click, delete the wrong payment, turns into a two-step detour almost nobody expects until they hit it the first time.
