How to Export a Customer List From QuickBooks
In QuickBooks Online, go to Sales > Customers, click the Export icon above the table, and choose Excel or CSV. In QuickBooks Desktop, open the Customer Center, click the Excel button, and choose Export Customer List. Either way takes under a minute and gives you a spreadsheet of every customer currently in your list.
The full walkthrough
1. Open your customer list. In QuickBooks Online, go to Sales, then Customers. In Desktop, open the Customers menu and choose Customer Center.
2. In Online, find the Export icon above the table. It sits near the settings gear above the customer list and looks like a download arrow. Click it and choose Export to Excel or Export to CSV.
3. The export respects your current filters. If you've filtered the list down to active customers only, or sorted it a particular way, the export pulls exactly what's shown on screen, not your entire customer database by default.
4. Need more fields than the list view shows? Run the Customer Contact List report instead (Reports, then search "Customer Contact List"), which includes phone, email, and billing address columns the quick list sometimes leaves off, then use that report's own Export button.
5. On QuickBooks Desktop, use the Customer Center's Excel button instead. Click Excel at the top of the Customer Center, choose Export Customer List, and pick whether to build a new workbook or add to an existing one.
6. Open the downloaded file. Whichever path you used, the file opens directly in Excel, Google Sheets, or any spreadsheet tool like a normal download.
What a one-time export doesn't solve
The export itself is quick, but the list it produces is only accurate the moment you download it. A customer added in QuickBooks an hour later doesn't update the spreadsheet sitting on someone's desktop; neither does an edited phone number or a customer who's gone inactive.
For a business feeding that list into email marketing, a CRM, or a mailing service, that staleness turns into a recurring chore: someone re-exports and re-uploads the same list on a schedule, hoping nobody's working from last month's version in the meantime.
