How to Find a Deleted Invoice in QuickBooks (There's No "Recently Deleted" List)
QuickBooks Online doesn't keep a trash folder for deleted invoices. To find one, open the Audit Log (gear icon, then Tools, then Audit Log), filter the events to transactions, and look for a Deleted entry around the date you remember. It shows you exactly what the invoice contained so you can recreate it; it doesn't bring the original back.
The full walkthrough
1. Open the Audit Log. Click the gear icon in the top right, then Audit Log under the Tools column.
2. Filter it down. Click Filter, narrow by date range and, if you remember who deleted it, by user. Without a filter the log can be hundreds of entries deep within a week on an active account.
3. Look for the Deleted event. Each row shows the user, the date and time, and the event (Added, Deleted, Voided, and so on). Scan for Deleted Invoice entries in your date range.
4. Click View to see what it contained. This opens the details QuickBooks captured before deletion, customer, line items, amounts, dates. It's a record of what existed, not a live transaction.
5. Recreate the invoice. There's no restore button. Use the details from the Audit Log to create a new invoice that matches the deleted one, same customer, same lines, same amount.
Why this is a recreate, not an undo
People expect a deleted-items folder, something with an Undo option, because that's how most software handles deletion now. QuickBooks Online doesn't work that way for invoices: the Audit Log is a history of what happened, not a staging area for things you can bring back with one click.
That gap matters most when a deletion was accidental, or when someone deletes the wrong invoice while cleaning up a batch. The business impact isn't the ten minutes it takes to rebuild one invoice from the Audit Log; it's the fact that nobody notices it's missing until a customer calls asking why they got billed twice, or a report doesn't tie out at month end.
