How to Find Your QuickBooks License Number (and Why QuickBooks Online Doesn't Have One)
In QuickBooks Desktop, press F2 (or Ctrl+1) to open the Product Information window, which lists your License Number and Product Number at the top, or check Help > About QuickBooks. QuickBooks Online has no license number at all; it's subscription software with nothing to install, so what you actually want there is your Company ID, found under Settings.
The full walkthrough
1. Figure out which QuickBooks you're actually using. This matters because the two products don't share this concept at all. If you installed software on a computer, you're on Desktop. If you log in through a browser, you're on Online, and the steps below are different.
2. Desktop, fastest way: press F2. With your company file open, hit F2 (or Ctrl+1 on some keyboards) to open the Product Information window. License Number and Product Number sit right at the top, along with your file size and other diagnostics.
3. Desktop, alternative route: the Help menu. Go to Help > About QuickBooks [your edition and year]. The same License Number and Product Number appear at the top of the window that opens.
4. No access to the installed software? Check your purchase records. Your original confirmation email from Intuit lists both numbers, as does your Intuit account under past orders if you bought it online rather than in a box.
5. On QuickBooks Online instead? There's no license number to find. Go to the gear icon, then Account and Settings > Billing & subscription to see your plan and billing details. Your Company ID, the closest equivalent identifier, lives under Settings > Advanced > Company settings.
Why this trips people up more than it should
The license and product number pair only matters at a few specific moments, reinstalling QuickBooks, moving it to a new computer, or calling Intuit support, which means most people go years without ever needing to find it. By the time they do need it, the purchase email is long gone and the computer it was first installed on may not even be the one they're using anymore.
QuickBooks Online sidesteps this entirely by design: there's nothing to activate, so there's nothing to lose track of. The tradeoff is that support calls for QBO ask for a Company ID instead, and plenty of people go looking for a license number there simply because that's the term they already know from Desktop.
What we've built on top of QuickBooks account administration
Subscription and seat tracking across multiple companies
For businesses running several QuickBooks companies or Desktop licenses, a single dashboard tracks renewal dates, seat counts, and which license is tied to which machine, instead of someone digging through old emails when a question comes up.
Renewal and reinstall reminders before they're urgent
A heads-up goes out before a Desktop license needs re-entering after a migration or a subscription is about to lapse, instead of discovering it the moment QuickBooks stops working.
Managing more than one QuickBooks license or company?
Tell us how many, and what's manual about keeping track of them, and we'll tell you what can run on its own.
Digging through old emails every time QuickBooks asks for a license number?
Tell us how your licenses, companies, or subscriptions are currently tracked, a spreadsheet, someone's memory, an old inbox, and we'll tell you if it's worth organizing properly. That's one small example of what runs manually in a business; we go after whatever else fits that description too.
