How to Find Uncleared Checks in QuickBooks
Open the bank account's register, then filter by cleared status. QuickBooks Online marks every transaction blank (uncleared), C (cleared but not yet reconciled), or R (reconciled) in the register, and the filter lets you isolate just the blanks, the checks and payments that still haven't shown up on a bank statement.
The full walkthrough
1. Open the register for the account. Go to Bookkeeping, then Chart of accounts, and click View register next to the bank or checking account you want to check.
2. Open the filter panel. Click Filter above the transaction list.
3. Set the cleared status. Find the cleared-status option and choose the setting for transactions that haven't cleared yet, leaving out anything already marked C or R. Apply the filter.
4. Scan what's left. What remains is every check, payment, or deposit still waiting to clear, usually sorted by date, so the oldest ones (the ones most worth a second look) are easy to spot.
5. If you'd rather work from a report, use Transaction Detail by Account instead. Search "Transaction Detail by Account" in Reports, run it for the bank account, click Customize, and add the Cleared column so you can sort or scan by status the same way.
6. Cross-check against your actual bank statement. A check showing as uncleared in QuickBooks for 90 days or more is usually genuinely stale, not just slow. Confirm it never cashed before deciding whether to void and reissue it.
Why this list keeps needing a second look
A handful of uncleared checks at any given moment is normal; checks take a few days to hit the bank. The problem is the ones that sit there for months, a vendor check that never got cashed, a payroll check from an employee who left, because nobody notices until reconciliation day forces the question.
By then, tracking down why a specific check never cleared means someone's digging through old email or calling a vendor to ask if they still have it. The actual fix, catching a check once it's gone stale instead of once a month during reconciliation, isn't something the register filter does on its own; someone still has to go look.
