How to Update QuickBooks (Desktop vs. Online, and What Actually Needs a Click)
If you're on QuickBooks Online, there's nothing to update; it runs in your browser and Intuit updates the servers behind it without any action from you. If you're on QuickBooks Desktop, go to Help, then Update QuickBooks Desktop, click Update Now, then Get Updates, and restart the program when it prompts you to install the new release.
The full walkthrough (QuickBooks Desktop)
1. Open the Help menu. With QuickBooks Desktop open, click Help, then Update QuickBooks Desktop.
2. Go to the Update Now tab. The first time you do this, check the Reset Update box, which clears any previously downloaded updates and forces a clean redownload, a step worth taking if a past update seemed to stall.
3. Click Get Updates. QuickBooks downloads the latest release in the background; you can keep working while it does.
4. Close and reopen QuickBooks Desktop. The update installs the next time you start the program, not immediately on download. QuickBooks will prompt you to install when it detects a downloaded update waiting.
5. On a multi-user network, update the server too. If QuickBooks Desktop runs through a shared company file, the computer acting as the server needs its QuickBooks Database Server Manager updated separately, not just the workstations people log in from.
Where an update stalls or doesn't seem to apply
The most common snag is thinking the update finished because the download finished. It doesn't actually install until QuickBooks Desktop restarts and you accept the install prompt, so if the version number in Help, then About QuickBooks still looks old afterward, that's usually why.
On a network with multiple people in the same company file, a mismatched version between someone's workstation and the server computer causes its own set of errors, people getting kicked out, files refusing to open, that look unrelated to an update at first. Keeping every machine touching that file on the same release avoids that category of problem entirely.
