A quoting tool can generate a clean quote. A billing tool can generate a clean invoice. Neither one owns what happens between them, approval, contract, provisioning, the first invoice, which is usually where a deal that closed on Monday doesn't show up as revenue until the following month.

What quote to cash actually requires

Generating a quote from a CRM opportunity is the easy part. Most CRMs already do that. The harder part is everything after the signature: routing the contract for approval, provisioning whatever was sold, creating the invoice with terms that actually match what was agreed, and recognizing the revenue correctly.

The rep puts them on hold, opens NetSuite to check inventory, opens another NetSuite screen for the account balance, opens the shipping portal to look up tracking, then goes back to Salesforce to log the call. Five minutes for a conversation that should have taken one.

A contractor calls for 200 units and an account balance, and the rep used to put them on hold to check NetSuite, the shipping portal and Salesforce. Now one Salesforce panel shows stock, balance and last shipment, and the order syncs to NetSuite, invoices itself and gets its label in ShipStation.

We already use CPQ software. Why would we need this?

CPQ tools are good at generating accurate quotes with the right pricing and approvals built in. The gap is usually everything after the quote is accepted, contract routing, provisioning, and getting the invoice into your accounting system with matching terms.

Does this work with subscription or usage-based billing?

Yes. That's usually where the manual work is worst, since usage-based terms need to flow correctly from the contract into recurring billing and renewal tracking, not just a one-time invoice.
