SimplePractice Bills the Session. Your Books Still Need to Catch Up.
SimplePractice handles private-pay billing for a solo or small behavioral health practice: invoicing clients directly, processing card payments, and generating superbills, itemized receipts with the codes a client needs, that they can submit to their own insurer for out-of-network reimbursement. What it doesn't do is move that payment and superbill data into the clinician's own bookkeeping or tax records automatically. We build the connection that closes that gap.
What SimplePractice actually bills for you
For most solo clinicians, SimplePractice is where the money side of a session happens: the invoice goes out, the client pays by card, and if they want to seek reimbursement from their own insurer, SimplePractice generates a superbill with the right diagnosis and procedure codes attached. For practices that also bill insurance directly, those claims typically run through the same billing module.
All of that data stays inside SimplePractice. It's accurate, but it's not automatically formatted the way a clinician needs it for taxes, a profit-and-loss view, or tracking which clients have actually been reimbursed by their insurer after submitting a superbill.
Where the manual catch-up happens
Most solo practices handle this with a monthly ritual: exporting payment reports from SimplePractice and re-entering the totals into a spreadsheet or accounting software by hand, usually squeezed in after hours. Tracking which superbills clients actually submitted, and whether their insurer reimbursed them, is even less structured, often living in a clinician's memory rather than any system at all.
None of that has to stay manual. Once SimplePractice has the payment or superbill data, we can pull it out on a schedule and put it exactly where a clinician's bookkeeping already lives.
What we build on top of SimplePractice billing
Payment-to-books sync
Once a session's paid and the invoice is settled in SimplePractice, we push that entry into your bookkeeping automatically, so your books reflect income without a monthly export-and-reconcile session.
Superbill tracking
For clients who submit their own superbills to insurance, we build a simple tracker for who's been reimbursed and who's still waiting, instead of that living in your memory.
Still exporting SimplePractice payments into a spreadsheet by hand?
Tell us where that data needs to end up, your bookkeeping software, a tax-prep file, your own tracker, and we'll build the connection so it gets there on its own.
Billing through SimplePractice and still reconciling your books by hand?
Billing is one part of running your practice. We automate whatever else is still manual too, referral tracking, your website intake, or your bookkeeping beyond what SimplePractice touches.
