What's actually in the free Zoho CRM plan
The free edition covers the core of what a small sales team needs day to day: leads, contacts, accounts, deals, and basic task and activity tracking, usable by up to three people at no cost and with no expiration date, unlike a typical time-boxed trial. For a business just getting its pipeline out of a spreadsheet, that's a real, complete tool, not a crippled demo meant to push you toward a credit card.
What it doesn't include is most of what separates a CRM you use from a CRM you automate: Workflow Rules, Blueprint, and advanced customization generally sit behind paid tiers, and API access is limited or unavailable on the free plan depending on current terms. Zoho changes exact feature splits by tier periodically, so the specific line between free and paid is worth checking on Zoho's own pricing page before you build a plan around it.
When the free plan stops being enough
For pure manual pipeline tracking with three or fewer users, the free plan can genuinely last a while. It stops being enough the moment automation enters the picture: no Workflow Rules means no native rule-based follow-up, and limited or missing API access means even a basic custom integration, syncing a lead form or pulling deal data into another system, may not be possible until you're on a paid tier with full API access.
That's worth knowing before you build anything on top of a free Zoho CRM account: check what the current plan actually allows at the API level first, since building a real integration against a plan that doesn't support one yet is wasted work.
