Getting Data In and Out of Insightly Without Breaking It
Insightly imports and exports contacts, organizations, and leads as CSV files through its own Data Import and Export tools, with field mapping and duplicate matching built in. That handles a one-time migration well; it's the wrong tool for anything that needs to stay in sync on an ongoing basis. A recurring job and a one-time move are different problems, even though they both start with the same CSV screen.
What Insightly's own import and export actually do
Insightly's import tool walks you through mapping CSV columns to the right fields, standard and custom, and lets you choose how to handle duplicates: skip, update, or create a new record, based on email or another matching field you pick. Export runs the other way: pull contacts, organizations, leads, or opportunities out as a CSV, filtered by a saved view if you want a specific slice instead of everything.
Where it runs out of road is volume and frequency. A one-time CSV import when you're switching to Insightly from another CRM is exactly what the tool is built for. A weekly or daily sync, keeping Insightly's contact list matched against a separate billing system or email platform, is not, since every run still means someone exporting, checking, and re-importing by hand.
Web forms run into a related version of the same gap. Insightly doesn't ship a native web-to-contact form tool, so a lead who fills out a form on your website still has to get typed in or imported from wherever that submission actually landed.
