Insightly Connects to a Few Things Natively. Most Businesses Need More.
Insightly integrates natively with Gmail, Outlook, Mailchimp, and QuickBooks Online through its own marketplace, plus a no-code workflow tool called AppConnect for building simple automations between supported apps. Past that list, LinkedIn, Google Drive, WordPress forms, anything running on logic AppConnect can't express, connecting Insightly usually means custom integration work. That's the part of the list we fill in.
What AppConnect handles on its own
AppConnect is Insightly's built-in automation tool: you drag together triggers and actions between Insightly and a handful of supported apps without writing code. It's genuinely useful for simple cases, create a task when a deal reaches a stage, post a message to another connected app when a lead comes in, that sort of thing.
It stops being enough the moment a workflow needs logic AppConnect doesn't support: a calculation involving more than one field, a check against a system that isn't on its supported list, or a condition that depends on data living outside Insightly entirely. That's the ceiling most Insightly accounts eventually hit once their workflows get past the basics.
The integrations people actually search for
Mailchimp is the pairing we see come up most specifically, syncing contacts and list membership both ways instead of exporting a CSV every time a campaign goes out. LinkedIn and Google Drive integrations usually mean pulling profile data into a new lead record or attaching Drive files to a project automatically, neither of which Insightly connects out of the box.
QuickBooks Online has a native connector for basic contact and invoice syncing, but it doesn't handle project-based billing or invoices triggered by a project milestone rather than the original deal value, so that logic still gets built custom. WordPress forms run into a similar story: Insightly doesn't ship a native WordPress connector, so capturing a website lead straight into Insightly usually means a paid form plugin or a webhook we build to catch the submission ourselves.
What We Build Past AppConnect
Pairings AppConnect doesn't support
LinkedIn profile data, Google Drive attachments, WordPress lead capture, anything outside Insightly's own marketplace list, connected through the API or, where there's no API route at all, through browser automation against the actual page.
Logic AppConnect can't run
Milestone-triggered QuickBooks invoicing, cross-system checks before a lead gets scored, anything that needs to look outside Insightly before deciding what to do.
