How to Change Your Company Name in QuickBooks

Click the gear icon, go to Account and settings, then the Company tab, and select the pencil icon next to Company name. Type the new name and save. If your legal name (used on tax forms) differs from what you do business as, you can set that separately in the same section.

The full walkthrough

1. Open Account and settings. Click the gear icon in the top right, then choose Account and settings.

2. Go to the Company tab. This holds your company name, legal name, address, and contact details.

3. Edit the Company name field. Click the pencil icon next to it, clear the old name, and type the new one.

4. Check the legal name field too. If your legal business name is different from your everyday company name (common after a rebrand before the paperwork catches up), update that field separately; it's what shows on tax forms.

5. Save. The change applies account-wide immediately.

6. Update your invoice template if it needs to match. The name on your actual invoices and estimates is controlled separately, through Custom Form Styles, so check that too if customers need to see the new name on what you send them.

Where a name change doesn't automatically follow you

QuickBooks itself updates in one place. Everywhere else your old name lives, the invoice template you already customized, a connected e-commerce store, payment receipts, e-signature document headers, doesn't update on its own just because you changed it in Account and Settings.

That's usually fine for a one-time rename. It becomes a real time cost when a business changes names more than once, through a rebrand, a legal entity change, or an acquisition, and someone has to track down every system that has the old name baked into a template and fix it by hand, one at a time.

What we've built on top of QuickBooks company settings

One change, everywhere it needs to land

A company name or address change in QuickBooks propagates to the other connected systems that reference it, invoice templates, e-signature headers, store checkout pages, instead of someone chasing down every place the old name is hardcoded.

Flagging stale company info across systems

A check that compares what QuickBooks has on file for name, address, and contact info against your other connected tools, and flags anywhere they've drifted out of sync.

Changed your company name in QuickBooks but it's not showing up everywhere it should?

Tell us which systems still have the old details, invoices, receipts, a connected store, and we'll tell you if we can keep them in sync going forward. This isn't limited to company info; it's the same question for anything manual that touches more than one tool.

Frequently Asked Questions

How do I change the company name shown on my QuickBooks invoices specifically?+
That's controlled separately from Account and Settings. Go to the gear icon, then Custom Form Styles, open the style your invoices use, and edit the header where the company name and logo appear.
How do I change the company name in QuickBooks Desktop?+
Go to the Company menu, then My Company, and click the pencil icon next to the company name. It's a similar edit to QuickBooks Online, just a different menu path.
How do I change the company name in QuickBooks for Mac?+
Open Company, then Company Information, and edit the name field there. QuickBooks for Mac keeps this in its own menu, separate from both Desktop for Windows and Online.
Is my QuickBooks 'company name' the same as my legal business name?+
Not necessarily, and QuickBooks lets you set them separately. Company name is what you see day to day inside QuickBooks and on forms by default; legal name is what's used specifically for tax documents, and it's worth checking both after any rename so your tax filings stay accurate.
