What Is QuickBooks Essentials?
Essentials is the second of QuickBooks Online's four subscription tiers, one step up from Simple Start. It adds three things Simple Start doesn't have at all: a full bill-pay workflow for tracking and paying vendors, time tracking you can bill straight to a customer, and room for up to three users at once instead of one.
What Essentials actually adds
1. Bill management, accounts payable for real. You can enter vendor bills as they come in, track what's due and when, and pay a batch of them at once through Pay Bills. Simple Start has no equivalent; a business on that tier tracks what it owes vendors outside QuickBooks entirely.
2. Time tracking tied to billing. Log hours for employees or contractors against a specific customer or job, then pull those hours straight onto an invoice instead of re-typing them from a separate timesheet.
3. A third user seat. Essentials supports up to three simultaneous logins plus your accountant, versus Simple Start's single user. That's usually enough for a small team where more than one person touches the books, without yet needing Plus's five.
4. Everything Simple Start already had. Invoicing, expense tracking, mileage, receipt capture, and the standard report set all carry over unchanged; Essentials is additive, not a different product.
5. What's still missing, inventory and project tracking. There's no inventory quantity tracking and no dedicated project profitability view. Both of those wait for the next tier up, Plus.
Where Essentials still falls short
Essentials solves the two problems that push most businesses off Simple Start, nobody can track what's owed to vendors, and only one person can log in. Once both of those are handled, the next wall most businesses hit is inventory: a business that sells physical product and needs QuickBooks to track quantity on hand finds Essentials has nothing for that, same as Simple Start.
The bill-pay workflow itself is also still a manual approval process. Someone still reviews every bill and decides whether it's correct before Pay Bills runs, Essentials doesn't add any automatic routing or sign-off logic on its own; that's a feature reserved for the Advanced tier, and even there it only reacts to information already inside QuickBooks.
