Bank reconciliation in Xero works by matching each line from your connected bank feed against a transaction already recorded in Xero, or creating one on the spot and coding it to the right account. Xero's own suggested-match engine and reconciliation rules automate a lot of the obvious cases. What it can't do on its own is match a deposit to the specific invoice, customer, or job it actually belongs to when that detail lives in a different system entirely, which is exactly where we pick up.

How bank reconciliation actually works in Xero

Once a bank account is connected, transactions flow into Xero's Reconcile tab automatically. For each line, Xero suggests a match, usually an existing invoice or bill it thinks corresponds to that amount, or offers to create a new transaction and asks you to pick the account and tax rate. Confirming a correct suggested match takes one click; everything else takes a few more.

Reconciliation rules let you automate the repetitive cases: a recurring bank fee, a regular rent payment, a known monthly subscription charge. Set the rule once with the matching criteria and the coding it should apply, and Xero handles that line automatically every time it shows up, rather than asking you to code the same transaction by hand every month.

For bulk situations, like reconciling a batch of similar small transactions at once, Xero supports matching multiple lines in a single action rather than clicking through them one at a time, which helps but still depends on someone noticing the batch and running it.

Where the matching logic runs out

Xero's suggested match is good at matching an amount to an invoice when there's one obvious candidate. It's a lot weaker when a bank memo is generic (a payment processor payout, a vague wire description, a lump settlement covering several invoices at once) and the real answer lives in a different system: which specific order this payout covers, which customer a vague wire is actually from, which job a deposit belongs to.
