Sage Payroll Handles the Filing. It Doesn't Handle the Hours.
Sage Payroll (running inside Sage 50 or as its own cloud product, depending on which Sage you're on) calculates pay, generates payslips, and submits the real-time statutory filings HMRC expects, Full Payment Submissions each pay run, P45s when someone leaves, P60s at year end. It's genuinely solid at the calculation and filing side. What it doesn't do on its own is pull in the hours worked or push its results into your accounts without someone doing both of those by hand.
How Sage Payroll actually works
1. Set up each employee's record. Pay rate, tax code, National Insurance category, and any recurring deductions or benefits get entered once per employee, and every future pay run draws from this record.
2. Run the pay period. Enter or confirm hours and any one-off additions, and Sage calculates tax, National Insurance, and net pay automatically from the employee record and the current period's figures.
3. Print or issue payslips. Payslips can print directly from the pay run or, on newer versions, go out through an employee self-service portal instead of a printed slip.
4. File the Full Payment Submission. Sage Payroll files this to HMRC as part of processing the pay run, which is the core of UK Real Time Information (RTI) reporting.
5. Handle leavers and year-end separately. A P45 gets issued when an employee leaves; a P60 goes to every employee still on payroll at the end of the tax year, summarizing their total pay and deductions for the year.
Where Sage Payroll still depends on someone typing things in
The gap shows up before the pay run even starts. If staff clock in through a separate time and attendance system, or hours get tracked on job sites rather than at a desk, someone still has to pull that data and enter it into Sage Payroll manually every single pay period, which is exactly the kind of repetitive step that both takes real time and introduces the occasional typo that nobody notices until a payslip looks wrong.
The other gap is on the way out. Sage Payroll can post its results into Sage Accounts as a payroll journal, but linking the two and keeping that journal reconciled against the pay run total is a setup and maintenance step a lot of businesses handle manually, especially across separate company files if payroll runs for more than one entity.
